Why hello@yourpractice.co.za beats a Gmail address
If your practice emails patients from drsmith.dental@gmail.com, you're quietly telling them you're smaller and less established than you are. A professional email on your own domain — hello@yourpractice.co.za — is one of the cheapest credibility upgrades available, and most practices that have a website still haven't made the switch.
The reason it matters is perception, with a little safety attached. A free webmail address reads as makeshift; a domain address reads as a settled business that owns its own name. It also looks more legitimate in an inbox increasingly full of scams — an email from your own domain is harder to mistake for phishing than one from a generic free account. And it keeps your communications tied to an address you control, rather than a personal account that leaves with whoever set it up.
Setting it up is genuinely quick:
Getting a proper practice email
- Register your domain first — yourpractice.co.za, around R100 to R150 a year. The email comes off the back of it.
- Add an email service — a low-cost option like Zoho Mail (free, or about a dollar a user a month) or Google Workspace runs your hello@ address with a familiar inbox.
- Use role addresses, not just personal ones — hello@ or reception@ outlives any one staff member and can be shared by the front desk.
- Keep it consistent — the same domain on your site, your email and your Google listing, so everything agrees and looks like one practice.
This is a small thing, and it won't transform a practice on its own. But it's an afternoon's work for a clear, lasting lift in how settled you look — and once the domain is registered, the email is almost free. Few cheap upgrades are this easy.
We set up domain email as part of a build — but registering a domain and pointing an email service at it is something you can do yourself this week.
